MillenniumIT ESP – Sri Lanka’s leading Information Technology solutions provider – won the SLASSCOM RPA 2020 award for submission of Case Study under the Information Technology category. The SLASSCOM (Sri Lanka Association of Software and Services Companies) RPA Conference 2020, during which the award was presented, was held virtually over a three-day course in December 2020.

MillenniumIT ESP’s winning RPA solution was a ‘Purchase Order Validation and Invoice Creation Process’ case study with proven ability to convert the same into a commercial solution. The company had chosen its own business environment as its test environment for the proposed case study: As an IT firm which plays a leading Systems Integrator role in the industry, MillenniumIT ESP receives multiple invoices for purchases of services, hardware, software, and support services from vendors. As per the company’s internal process, the invoices are required to be entered into an Enterprise Resource Planning (ERP) system and there were 3 resources from the Finance Department partially allocated for the invoice creation task in the ERP system. While creating the invoices in the ERP system, it is required to validate the invoices (each line item) against its respective purchase order prior entering the same into the system. This is a rule-based task which required a significant amount of productive human time from the Finance Team members. Key challenges identified during this process included the number of days taken to reflect an invoice in the ERP system since its receipt date, the human errors that occurred while entering the data into the system which then took a considerable amount of effort to rectify, and the significant productive time wasted in validating each line item of invoices against purchase orders.

MillenniumIT ESP’s Senior Consultant – RPA, Danura Lunuwilage, presented a session under the theme of ‘Supercharged RPA’ at the SLASSCOM RPA Conference 2020.

MillenniumIT ESP proposed a software robot (Bot) that connects to the email account to which invoices were sent to, downloads the PDF invoices and extracts the relevant fields by using OCR technology. It then searched for the purchase orders raised within the ERP system and validated each line item of the invoice against the same. In addition, in case of a discrepancy, the Bot highlighted the issue and sent a notification for manual validation.

After the Bot’s implementation for Purchase Order Validation and Invoice Creation Process (RPA solution), MillenniumIT ESP gained several positive business outcomes including invoices being created in the system on the same day they arrived, any discrepancies raised in invoices or purchase order being captured and escalated within the same day, no human errors (such as typos, delays or missed entries) during the invoice creation process, validation of line items in invoices against purchase orders being 100% accurate, release of 2 employees from the routine invoice creation task and their reallocation in value addition tasks for the organization, and standardizing the purchase order validation and invoice creation process to adhere to an internal SLA 93% (7% for discrepancies).

The objective of this partnership was to inspire and engage local students to become interested and opt to pursue degrees and careers in the Science, Technology, Engineering and Mathematics (STEM) fields in order to support STEMUp’s newest mission of democratizing the knowledge and technology access of Artificial Intelligence (AI) to every student in the island.

The partnership has proven to create a great impact in the country and has led to the integration that was envisaged by MillenniumIT ESP. It has managed to encourage and drive student involvement and participation, thereby creating a new generation of technologically sound young individuals. This venture has acted to enhance access to knowledge, expertise and information that will transform lives and drive local students to reach new potentials, making ground making discoveries and advancements that will benefit society in leaps and bounds.

Student focused training sessions were conducted across different schools including Ananda College Colombo, Gateway College Colombo, St. Paul’s Girls’ School Milagiriya, and Vidyaloka Central College, Balangoda. Other public in-person activities were organized to create awareness and share knowledge – these included attending the Infotel Exhibition and hosting a stall, as well as focused training for the Imagine Cup competition and coaching students at Gateway College Colombo. An impressive total of 1000 students and teachers were addressed during the year in review.

The sudden emergence and unexpected rise of the pandemic did not deter the journey nor restrict progress. Over 15 online sessions were conducted as a part of a webinar series for the “Machine Learning for Kids” program.  These sessions were held during the weekends and were hosted in collaboration with MillenniumIT ESP, through live-streaming via the STEMUp social media platforms – Facebook, Twitter and YouTube. Plans are now underway to host more than 10 online sessions in the coming months.

Backed by decades of experience and expertise in technology, innovation, adaptation and transformation, MillenniumIT ESP has identified that Sri Lanka still struggles to be on par with global technology adaptation trends. This is mainly due to the inadequate number of IT professionals in the country and sharing of their technical knowhow with mass audiences. Going one step further, in addition to sharing expert knowledge around the country, MillenniumIT ESP provided internship opportunities to students following STEMUp programs.

Afterwards, I received the opportunity to be the leader of the sub initiative of the STEMUp Foundation called ‘Machine Learning for Kids’ through which I was able to further sharpen my skills. Eventually, I was recruited by MillenniumIT ESP as a Software Engineer Intern. I am really passionate about Machine Learning and AI, so, STEMUp was a good platform for me to showcase my passion to the world and get hired by a great company, and most importantly work in the field I am really interested in,” added Yasiru.

The STEMUp Educational Foundation supports the view that STEM literacy is a foundation skill that will be beneficial for all careers and will help to build critical thinking abilities, creativity and collaboration skills. Gaining STEM proficiency provides the base for these skills and grants the flexibility to adapt to frequent changes in the local and international employment arena.

HealthVision is a web-enabled, mobile responsive, intuitive platform for medical personnel to connect with their patients remotely. At the MJF Charitable Foundation, HealthVision will enable medical personnel and caregivers to connect with children that have Cerebral Palsy and other developmental disorders from across Sri Lanka; record their current health, safety and risk details through a guided questionnaire; visually capture their expressions, symptoms and symptom history through video and audio recordings; provide home based therapies and care where applicable; and continue communications with them on a periodic basis to ascertain the status of their wellbeing.

The National Centre for Children with Cerebral Palsy and other Developmental Disorders at MJFCF serves as a national hub, offering various services such as education, therapy, training and counselling for children with Cerebral Palsy and other developmental disorders, as well as their caregivers, teachers and trainers who work with special needs individuals.

HealthVision will be powering ‘disABILITY’, the disability screening and management application of MJF Foundation, and the platform will be specifically connecting children with special needs and their families in Sri Lanka to MJF Centre’s services provided at NCCCPDD and via other partners across Sri Lanka; including Disability Screening, Developmental Screening, Child Reference to Pediatrician Diagnosis, Early Identification and Intervention, Free Multidisciplinary Team Support, Free Therapeutic, Educational and Rehabilitation Services, Free Mobility Aids Support and Child Progress Monitoring Follow Ups.

In this case, patients and/or their parents or caretakers will be able to securely access the HealthVision platform through the solution’s web URL or via its mobile app. The HealthVision powered ‘disABILITY’ app, which supports both Android and iOS, can be signed in via the one-time-password (OTP) sent for authentication to their respectively registered mobile number. Each recorded case will be identified with a unique reference code and provided to the patient for future reference.

On the other hand, HealthVision will allow medical personnel and caregivers to communicate with special needs children and their parents or caretakers through video, audio and chat facility. They will also be able to access their patients’ assessments or inquiries through the solution’s Admin Panel and patient cases will be automatically allocated to the medical personnel in the system. Moreover, the Admin Panel will be providing valuable insights to identify the children’s current status, where they are located, provide them the resources needed to maintain a positive mindset and guidance to follow the medical advice offered by the medical personnel.

“The MJF Centres around Sri Lanka work with over 400 children daily. However, there is an estimate of 40,000 children with Cerebral Palsy living in Sri Lanka,” says Mr. Dilhan C.
